Frequently asked questions
Straight answers about VetLogic Pro, the Veteran Portal, pricing and billing, and how information is protected.
General
Who VetLogic Pro is for, what it is, and how to get started.
Who is VetLogic Pro for?
Organizations that help veterans with VA disability benefits and claims — Veterans Service Organizations, county and state Veterans Service Offices, law firms, accredited claims agents and veteran-serving nonprofits.
Is VetLogic Pro affiliated with the VA?
No. VetLogic Pro is independent software. It is not affiliated with, endorsed by, or operated by the U.S. Department of Veterans Affairs, and it doesn’t provide legal advice, medical advice or claims representation.
How do we get started?
Request a demo. We walk your team through the organization dashboard and the Veteran Portal, then set up your plan with you. Your Owner receives an invitation, and invites your staff and the veterans you serve. Request a demo.
Can people sign up on their own?
No. There is no public sign-up. Every account starts from an invitation sent by an authorized person, which keeps each organization’s workspace limited to the people it chose.
Veteran Portal
What veterans see and how they get in.
What do veterans see?
Each veteran you invite gets a private portal showing only their own claims, the documents and tasks your team shares, appointments and messages. They never see internal notes or other veterans. About the Veteran Portal.
How do veterans get access?
Your organization invites them by email. They review and agree to the portal terms and privacy notice, and then create their password — no account exists until they agree.
Do veterans need to download an app?
No. The Veteran Portal works in a web browser on a phone, tablet or computer.
Is the Veteran Portal included?
Yes. Every veteran you invite gets portal access on every plan.
Pricing & billing
What the plans include and how capacity works.
How much does it cost?
Plans start with Solo for a single professional and scale through Core, Plus and Enterprise. Every plan includes the full platform and the Veteran Portal. See plans and pricing.
Do plans include different features?
No. Every plan includes the full VetLogic Pro platform and the Veteran Portal. Plans differ by included staff, Active Veteran capacity and storage.
What is an Active Veteran?
Any veteran record in your organization that isn’t archived. Archived veterans keep all their records but don’t count toward your plan’s Active Veteran capacity.
What if we need more Active Veterans?
Archive veterans whose casework is finished to free up an Active Veteran slot — their records and files are kept and can be restored. You can also add Active Veteran capacity in stackable packs of 50, or move to a larger plan.
Can we add capacity without changing plans?
Yes. Add-ons stack on any plan: +50 Active Veterans or +50 GB of storage at a time. Add-ons add capacity only — they don’t add staff seats. For a smaller or custom amount, contact support@vetlogicpro.com.
What happens if we reach our storage limit?
Your existing files stay available and are never deleted because of a storage limit. New uploads pause until you add storage or move to a larger plan. Documents for archived veterans still count toward storage.
Can we change plans?
Yes. Plan changes are handled by the VetLogic Pro team — contact support@vetlogicpro.com and we’ll move your organization to the right plan.
How does billing work?
Plans are billed monthly or annually; annual billing costs the same as about 10 months. Online self-service billing isn’t available yet, so we set up your plan directly with you after a demo.
Do you offer Enterprise plans?
Yes. Enterprise plans have custom staff, Active Veteran and storage capacity for larger or multi-office organizations. Contact support@vetlogicpro.com or request a demo to discuss your needs.
Privacy & security
How information is protected and how to make a privacy request.
How is veteran information protected?
Each organization’s records are kept separate from every other organization’s. Access rules are enforced in the database and re-checked on the server for every request, documents sit in private storage, and Social Security numbers are encrypted at the field level with a separate key. Read about security.
Who can open a veteran’s documents?
Only people allowed to see them. The server confirms access first, then issues a temporary link that expires after 60 seconds. Veterans can only open documents your team has made visible to them, or files they uploaded themselves.
How do staff sign in?
Every staff member — Owners, Admins and Case Managers — signs in with multi-factor authentication using an authenticator app. Accounts are created from invitations only.
Is activity recorded?
Yes. Important actions are recorded in the organization’s activity log, including document views and downloads, staff invitations, role changes and deactivations, and changes to claims, tasks and requested forms.
Do you offer Business Associate Agreements (BAAs)?
No. VetLogic Pro is not intended for HIPAA-regulated workflows or the protected health information of HIPAA covered entities, and it doesn’t sign BAAs. It is built for organizations doing benefits and claims work.
How do I ask for my information to be accessed, corrected or deleted?
Use Privacy Choices to submit a request. Valid deletion requests are completed within 45 days, except where the law requires information to be kept. Make a privacy request.
